Integrate JazzHR with Sterling Talent Solutions

Link your JazzHR account to Sterling Talent Solutions to request background checks on candidates directly from JazzHR.

Setting up the Integration

Step 1: Ensure you have a Sterling Talent Solutions account. Note: You must have an account with Sterling Talent Solutions in order to integrate.

Step 2: Obtain the Sterling API Key and required information. Email your Sterling point of contact, and request the following information to integrate your JazzHR account:

  • Account Name Note: Please refrain from using any spaces in your company name (i.e "companynamellc" rather than "Company Name LLC")
  • Client ID
  • Authentication Key
  • Account Password (Account Password is usually the same as Authentication Key)

Also, provide him/her with a list of user emails who will be requesting background checks from JazzHR. Sterling will respond with your company's connection information. Save this for use in the next step.

Step 3: Connect the Sterling Talent Solutions account in JazzHR:

  1. Click Settings.
  2. Click Integrations.
  3. Scroll down to Sterling Talent Solutions.
  4. Click Connect.
  5. Enter the information provided by Sterling.
  6. Click Save Credentials.

Ordering a Background Check

  1. Click Candidates.
  2. Click on the desired Candidate Profile.
  3. Click the Assessments tab.
  4. Scroll down to Sterling Talent Solutions.
  5. Click Send to Sterling.
  6. Once the candidate has been sent to Sterling, click Add a Screening from the new window.

The status of this background check will show as "Pending" in the Assessments tab until complete.

Viewing the Results

Check back on the progress of the background check via the status message on the Assessments tab of the Candidate Profile.

  1. Click Candidates.
  2. Click on the desired Candidate Profile.
  3. Click the Assessments tab.
  4. Scroll down to Sterling Talent Solutions.
  5. If the screening has been processed, the order will display as "Completed," and a final status will be shown ("Clear," "Alert", etc.).
  6. Click the eye icon to view the details of the background check within Sterling Talent Solutions. 

Frequently Asked Questions

What type of Sterling Talent Solutions account do I have?
Sterling Talent Solutions has two main platforms: ScreeningDirect and SterlingONE. Most customers requesting background checks through JazzHR would be on the SterlingONE platform. Note that former Talentwise customers now fall under SterlingONE.

Why am I receiving the following errors, and what do they mean?



These error messages point to an issue with your permissions within Sterling directly.

  1. Double-check your integration connection credentials to ensure it is valid.
  2. The JazzHR user who Sends Sterling (initiates the order) must be an authorized user in the Sterling account.
  3. Additionally, the JazzHR user must have the ability to view each candidate's background check within Sterling in order to successfully view the Assessments tab without receiving this error. Reach out to your representative at Sterling for further clarification.
